Intro to Workspaces

Video Placeholder Duration: 3-5 minutes Topics covered: What is a workspace, creating workspaces, workspace settings, switching between workspaces

What is a Workspace?

A Workspace is the top-level container in Plane — think of it as your organization's home base. Everything you do in Plane happens inside a workspace.

If you're familiar with other tools:

  • A workspace is like a Slack organization
  • Or a Discord server
  • Or a Notion workspace

Your workspace holds all your projects, work items, cycles, modules, and pages. It's where your team comes together to collaborate.

Creating Your First Workspace

When you sign up for Plane, you'll create your first workspace during onboarding. Here's what you need:

  1. Workspace Name — A descriptive name for your organization or team
  2. Workspace URL (slug) — A unique identifier used in your Plane URL
    • Example: app.plane.so/your-workspace-name
    • URLs must be unique across all of Plane
    • Names can be duplicated, but URLs cannot

To Create Additional Workspaces

  1. Click the workspace dropdown (top-left of the sidebar)
  2. Select Create workspace
  3. Enter your workspace name and URL
  4. Click Create

Workspace Members and Roles

Every workspace has members with specific roles that determine what they can do:

RoleCapabilities
AdminFull control — manage settings, members, billing, and all projects
MemberCreate and manage projects and work items they have access to
GuestLimited access — can only interact with projects they're invited to

Inviting Members

  1. Go to Workspace SettingsMembers
  2. Click Invite members
  3. Enter email addresses and select their role
  4. Members receive an email invitation to join

Workspace Settings

Access your workspace settings through the sidebar dropdown. Key settings include:

  • General — Workspace name, logo, and URL
  • Members — Manage team members and their roles
  • Billing — Subscription and plan management
  • Integrations — Connect external tools (Slack, GitHub, etc.)
  • Import/Export — Bring in data from other tools or export your data

Switching Between Workspaces

If you're part of multiple workspaces:

  1. Click the workspace name in the top-left corner
  2. See a list of all workspaces you belong to
  3. Click any workspace to switch to it

You can also accept invitations to join other workspaces from the Workspace invites page.

Best Practices

  • One workspace per organization — Most teams use a single workspace for their entire company
  • Multiple workspaces for agencies — If you manage work for different clients, consider separate workspaces
  • Descriptive names — Choose clear names that help members identify the right workspace

Key Takeaways

  • A workspace is the top-level container for all your Plane activity
  • Each workspace has a unique URL
  • Members can have Admin, Member, or Guest roles
  • You can be part of multiple workspaces and switch between them easily
